This guide helps users migrate their email, calendar, and contacts from a personal Gmail account (@gmail.com) to their new Google Workspace Business account.
Step 1: Forward Incoming Email from Gmail
- Sign in to your old Gmail account.
- Go to Settings → See all settings → Forwarding and POP/IMAP.
- Click Add a forwarding address and enter your Workspace email.
- Confirm the request via the verification email sent to your Workspace inbox.
- Select Forward a copy of incoming mail to and choose your Workspace address.
- Save changes.
Step 2: Import Calendar and Contacts
Import Calendar Events
- In your old Gmail account, open Google Calendar.
- Go to Settings → Import & Export.
- Export your calendar as an
.ics
file. - Switch to your Workspace account and import the
.ics
file.
Import Contacts
- In your old Gmail account, open Google Contacts.
- Go to Export and choose Google CSV format.
- In your Workspace account, open Google Contacts and use Import to upload the CSV file.
Step 3: Migrate Old Emails Using Data Migration Service
Admin access required
- Sign in to Google Admin Console.
- Go to Data Migration.
- Click Set up data migration.
- Select Email as the migration type.
- Choose Gmail as the source.
- Enter the user's old Gmail credentials and authorize access.
- Choose the migration start date and data types.
- Click Start to begin migration.
Note: IMAP must be enabled on the Gmail account and TLS certificate must be trusted.
Optional: Let Users Migrate Their Own Mail
- Enable import from webmail hosts in Gmail settings (Admin Console).
- Users go to Gmail Settings → Accounts and Import → Check mail from other accounts.
- Add their old Gmail account and follow prompts to import mail.
